Dave asked me to organize the Jambo dinner. I guess cause I'm so good at organizing the potlucks...basically cause no one else wants the job! graemlins/thefinger.gif EuroBob(Haole) is going to help out by with pricing out things so we can get the most of the $$$ and he's kind enough to go shopping, cause its kinda tough to do that from Colorado. From what I understand the Snappers have offered to cook the dinner, as well.
So here is what I have so far. Feel free to add, take away or comment on anything that is listed. I need all the help suggestions I can get.
This is my list of food that you all want to serve and what will be needed to go along with it.
Burgers ~ 350
Hotdogs ~ 150
Cheese slices ~ 200
Hamburger buns
Hotdog buns
Potato Salad
Baked Beans
Soda(generic brand)
Water
Ice
Mustard
Ketchup
Relish
Onions(sliced and chopped)
Salt/Pepper
Lettuce(yes? no?)
Plates
Napkins
Plasticwear
I figure that we would need 2 or 3 tables to serve the food off of. They should be covered in those cheapie tablecloths to make clean up easier. There should also be coolers at the end of the serving tables with the soda and water in them. We decided that it would probably be best to have someone actually serve the people...that would cut down on the amount of food that gets taken and helps to assure that everyone gets something to eat. If they want more they can come back for seconds after everyone is served.
Some other things that we'll need are:
Grilling utensils
Can Opener
Aluminum Foil(to cover the food before hand)
Serving Spoons(Walmart has them for like .80cents)
Ketchup/Mustard bottles(Walmart has them too)
Large disposible aluminum pans(for beans/salads)
Trash cans or bags near the dinner site
So...I just wanted to show where the $$$ would go and what we planned on purchasing. If you have issue with any of it, please speak up. I'm not down for pissing anyone off, I'm just trying to help out ;) Any suggestions will help and any good connections would also REALLY help!

Looks like you're on top of things, sounds cool.
Looks good to me. I will bring all my coolers with me. I have one of those really big coolers that I will not be using, so it can be used for this. I am bringing one table that is about 6x4 and one that is about the same size but folds in half. I will make sure there is a can opener and some grilling utensils in the motorhome.

Thanks guys! I also forgot to add charcoal to that list. The prices we have so far for burgers is $12.85 for 60 burgers(about .22 cents a piece) and hotdogs for .60 cents for a pack of 10. Any comments on that? I think the prices sound decent. I also priced some things out at Walmart today...
Ketchup ~ 114oz $4.12
Mustard ~ 104oz $2.83
Relish ~ 62oz $3.07
Beans ~ 96oz $3.33
I'm sure that these prices could be beat, but this is what I have so far.

you forgot ICE. lots of Ice to keep them drinks cold. I have a big ice chest I can borrow from my dad, if you need it. is gotta be like 4' long. i think 124 quarts???

For the amount of ice that we'll need over the weekend is there any way we can talk to one of the local(the closest)stores and see about them making sure they have enough ice for us...like placing a special order? Good idea or stupid?

the FOOD 4 LESS in Yucca had two large chests full of ice last time I was there---- chunks and block---- 17 miles---- lots of stores with ice

My truck will be available to make an ice run or two, I might not be available to drive it though. Roxy, we also need to plan to insure that all the trails get fed, biggest problem with the last couple of Jambos is feeding the participants and the raffle before the last run comes back. Maybe have the tailgunners check in with you when they get in so you know when to open the line up for seconds??

I'll be there Friday morning so maybe we can all sit down and make a plan for how you all want to handle that. I was under the impression that you all weren't going to start the dinner until the last trail came in. Things to think of is what happens if one trail gets back fairly early and the last is like 2 hours behind. People won't want to wait for 2 hours for seconds. Make sense. But those are all details we can work out. Maybe someone can make me a list of the trails and the tail gunners for those trails so I can mark them off as they come back?

They're about 12" X 30" by 10" deep.

Roxx, I'm sure Sarah would be glad to help chop onions. (damn, I was looking for that crybaby icon) She already volunteered to help whoever needed her. I know she wants to do the trail run though, you can work that out with her when we get there.
I agree its not cool to give out seconds till all wheelers are back. We are looking at 10 hours! I know its gonna take alot to get 20 rigs thru someone is bound to have major carnage.

I think we need to think about this seriously. Here are some thoughts to ponder...when do you want the dinner to start? Do you really want to make people wait what could be hours for the last run to come in before they can get seconds? That seems unreasonable to me. Also...do we really want to be serving dinner for what could be hours, depending on when the last run is in? How about if the dinner isn't started until the last run is almost done? That seems fair to me. The timing seems better on that. Yes? No? I'm just trying to think of the best possible way to organize things so that it flows well and everyone(including the people helping)can enjoy themselves.

who's helping with dinner? are you sure everyone who's helping isn't gonna be out on a run, which could be the late arvial?
other than that, the raffle is gonna be starting at what 8 or so or after the last run. so, if theres a late group, they'll be eating at the raffle, and who ever is getting seconds also (which really isn't a big deal at all, it's pretty easy to sit and listen to numbers being called.)

I would assume that those that are helping with the dinner will not be on a run. I could be wrong to assume that, but hopefully there will be people that hang back for the day to help organize, make ice runs, prep and set up. I can't do it all alone

The Snappers have volunteered to stay back... We will NOT be serving dinner or having a raffle till everyone is back. There is no grey area. If a rig needs to be left behind... so be it, we'll do a Saturday night rescue mission. The single biggest failure that AP had was starting the festivities while Dan Bell still had a group on Outer Limits. We can't repeat that mistake.
There will be plenty of people back prior to the last groups arriving.
This isn't that big of deal.

Thanks Dave. Thats what I thought we had originally discussed. I agree that makes more sense. If its organized that way then all I'll need is for someone to tell me how close we are to having the last rig back and we can start cooking and getting the food staged.

Rox, we should have decent comms from each late run, the only one I'm worried about is Outer Limits with Dave. My thoughts are, start dinner at 7PM, not too late. We will know by then who is having problems. Start the raffle at 8PM, night runs at 9PM. Adjust as neccesary.
Dave, don't forget, the last 2 years have had the same problem with dinner and the raffle. We really need to have a race radio on your trail, or an alternate method. I can come down to the end of OL when coming off of SB, but how will I know??

While I was sitting here going over my lists I got to wondering if you guys want to give everyone some type of *dessert*...like possibly one of those pre-wrapped cookies? Just a thought I figured I would throw out there.

Ok...I've got more questions for you guys. I already have listed the basics of ketchup, mustard, relish and onions. Do you all want to have lettuce mayo and tomatoes? If so I need to know so we can add that to the shopping list and add it to my lists. Let me say right now there is no way in hell I am slicing tomotoes!! They creep me out and I can't touch them! LOL I can handle the rest but not those eveil red bastards!! So...post up and give me your thoughts on the added ingredients!

Even though I won't eat them, I have no problem slicing them. And I'm pretty sure I can get a good price on a case or two from work. ;)
